About

Due to success of online voting in the past and to promote voting access to more members, the 2025 Annual Members Vote will be held online.

The virtual voting process will be similar to the previous years with some minor differences to ballot activation and timeline.

Goals

  • Enable members to cast one vote online.
  • Allow voters to confirm they have voted.
  • Remove identifying information from votes.
  • Produce voting results.

Process

  1. The voter pool is populated using HaxDB to pull members name, email, and mattermost username.
  2. A unique key is generated and assigned to each voter in the voter pool.
  3. Invitations are sent to each voter in the pool through their email address and mattermost message. Each invitation provides a link containing that voter's unique key.
  4. Voters use the link to cast their ballot. Submitting a ballot saves the results associated with the voter's unique key and removes them (and their identifying information) from the voter pool.
  5. Voters may continue to use the link to verify that that their ballot has been cast.

Timeline

  • Vote invitations will be sent out January 7, 2025.
  • The ballot will become active immediately upon invitation.
  • The ballot will remain active until January 21, 2025 at 7:15pm.
  • Voting results will be shared January 21, 2025 during the Annual Member Meeting.
